Safeguarding

I recognise that:

  • The welfare of children is paramount in all the work I do and in all the decisions I make. I tutor all children, regardless of age, disability, gender reassignment, race, religion or belief, sex, or sexual orientation and believe they have an equal right to protection from all types of harm or abuse.
  • Some children are additionally vulnerable because of the impact of previous experiences, their level of dependency, communication needs or other issues.
  • Working in partnership with children, young people, their parents, carers and other agencies is essential in promoting young people’s welfare.

I will seek to keep children and young people safe by:

  • Valuing, listening to and respecting them.
  • Adopting child protection and safeguarding best practice through my safeguarding policy. I have undertaken extensive safeguarding training.
  • Developing and implementing an effective online safety policy.

Privacy Policy / Legal

Providing privacy information is a requirement of the Data Protection Act, and this notice provides guidance on how to comply with this. The GDPR specifies further detail that organisations processing personal data will need to include in their privacy notices. 

This Privacy Notice explains what to expect when I use your personal information. I encourage you to read this notice carefully and if you’d like to learn more about my data protection and privacy policies or get further clarification.

The ICO (Information Commissioner’s Office states that “The first principle of data protection is that personal data must be processed fairly and lawfully. The DPA says that in order for the processing to be fair, the data controller (the organisation in control of processing the data) has to make certain information available to the data subjects (the individuals whom the data relates to), so far as practicable:

  • who the data controller is;
  • the purpose or purposes for which the information will be processed;
  • any further information which is necessary in the specific circumstances to enable the processing to be fair.

This applies whether the personal data was obtained directly from the data subjects or from other sources. 

My Promise:

I am committed to respecting your privacy and ensuring the personal information you have entrusted to me is held securely. I process personal information in accordance with the Data Protection Act 1998 and the Privacy & Electronic Communications Regulations 2003. These laws were updated in May 2018 to strengthen your rights to privacy and give you control over the personal information that organisations hold about you.

If you post or send offensive, inappropriate or objectionable content anywhere to my email or website or otherwise engage in any disruptive behaviour on my Facebook page, I will use whatever information that is available to stop such behaviour. This may involve informing relevant third parties such as your school, e-mail/Internet provider and law enforcement agencies about the content and your behaviour.

Personal Information I may Collect:

  • Personal identifiers such as your title, name and year of birth;
  • Contact details including postal address, post code, email and telephone number;
  • Predicted and target grades

Sensitive Personal Data:

The Data Protection Act recognises some information as ‘sensitive personal data’. This includes, but is not limited to, information which reveals details about any health concerns or disability where you have disclosed this, so we can meet your service requirements.

Essentially English Tutoring will always treat any sensitive personal data processed with greater care and process the information in accordance with the Data Protection Act.

Why I collect your personal information:

  • For the administration of emails
  • To allow me to make informed decisions about your child’s needs
  • To enable me to contact you with relevant and the most appropriate information.

Who I Share Your Information With:

I do not share our information about you with any other third party.  Any information I hold is stored in a password-protected file on computer. The only exception to this would be if there were a safeguarding concern which would be reported to the appropriate agencies. 

Confidentiality and Security:

No data transmissions over the internet can be guaranteed to be 100% secure.  Consequently, we cannot ensure or warrant the security of any information you transmit to us and you do so at your own risk.  Once we receive your transmission, we make efforts to ensure security on our systems. Essentially English Tutoring use physical, electronical and procedural safeguards to protect personal information about you. 

How Long I Keep Your Data:

I will only keep your personal information for as long as it is required and in accordance with statutory requirements. Where the information is no longer required, I will ensure that it is disposed of in a secure manner.

Your Information Rights and Choices:

The Data Protection Act (DPA) gives you the right:

  • To request in writing and securely obtain copies of the personal information Essential English Tutoring holds about you.
  • To correct or update your personal information processed by Essential English Tutoring.
  • To request Essential English Tutoring to stop using your personal information for any other purpose where there is no legal requirement for continued processing.

The Privacy and Electronic Communications Regulations (PECR) gives you the right:

  • To choose whether or not to receive communication from us by email, text or telephone.

Please contact me if you wish to raise a concern about our handling of your personal information, or compliment what you think I have done well.

You also have the right to lodge a complaint with the Information Commissioner’s Office about how I manage your data.

Changes to this Privacy Notice:

Essential English Tutoring will review our privacy notice regularly. The terms of this notice may be updated at any time for example, in the event of changes in law and how I operate. Please do check my website from time to time. If there are any significant changes in the way I process your personal information, I will provide a prominent notice on my website or send a notification via email. This notice was last updated February 2021.
